Do I need Google Workspace or a Personal Google account?
Anyone with a Google account (personal or business) can use this system. If you have Gmail, you already have everything you need. The system runs in Google Sheets, which is free with any Google account.
How much time does setup actually take?
Most teams are tracking candidates within 15-20 minutes.
The Quick Start Guide walks you through every step with clear written instructions while the other guides provide more in-depth and technical documentation.
I received the template email and template link but it won't let me access the template.
If this occurs, the template download limit set by Google might have been reached. Rest assured, if this happens we will address the issue immediately and send you an update directly once this has been resolved.
The Active Candidates tab appears empty despite having open positions.
Troubleshooting steps:
• Verify Job Status is marked as "Open" or "On Hold"
• Confirm candidates have valid Job IDs assigned
• Check that automation triggers are installed and running properly
Run "System Tools" → "System Maintenance" → "Full System Sync" to force a complete synchronization.

Can I customize the workflow stages and options?
Yes. The system is highly customizable including candidate workflow stages, job requisition status values, priority levels and employment types, and all dropdown menu options throughout the system.
Customization is managed through the Settings tab. The Admin Reference Guide provides comprehensive customization instructions.
Why does Google request these specific permissions?
The system requires three permissions for automation:
• Spreadsheet access: Enables automatic data synchronization between tabs
• Email capability: Sends notifications about system operations and error alerts
• Service connections: Coordinates functionality across Google Sheets, Drive, and Apps Script
All processing occurs within YOUR Google account with YOUR data. No information is transmitted to external servers or third parties.
How do I install the automation triggers?
Follow these steps (detailed in Quick Start Guide):
• Open your template copy in Google Sheets
• Click "System Tools" in the menu bar
• Select "Installation & Setup" → "Install/Repair Triggers"
• Click "Allow" when Google requests permissions
• Wait for the confirmation message
The automation is now active and will run automatically in the background.

What if I already have candidates in other spreadsheets or documents?

Where is my candidate data stored? Is it secure?
All data lives entirely in YOUR Google account within the Google Sheets file in your Google Drive. We never access, store, or see your candidate information. You control all security settings and access permissions through standard Google Sheets sharing controls.
Your data stays private and you can export it anytime.
Can I customize it for our specific hiring process?
Yes. You can customize:
• Candidate workflow stages (Phone Screen, Interview, Offer, etc.)
• Job status options
• Priority levels and employment types
• All dropdown menus throughout the system

Nothing. Simply stop using it. There are no contracts, cancellation fees, or commitments. Your data remains in your Google Drive, and you can delete the file whenever you want. You're not locked into anything.

The Job IDs didn't generate automatically.
Possible causes and solutions:
• Triggers not installed: Run "System Tools" → "Installation & Setup" → "Install/Repair Triggers"
• Missing Opened Date: Ensure the Opened Date field contains a valid date
• Data type issue: Verify that date fields contain actual dates, not text
If the problem persists, check the SYS_LOGS sheet for specific error messages.
